Information collected automatically: when you visit our website we automatically receive your IP address and approximate geographic location, browser type and version, device type (desktop, mobile, or tablet), pages visited, time spent on each page, referring URL, session data, and on-site interaction behaviour.

Tracking technologies we use include: cookies (small text files stored on your device that help us understand how you use our site and remember your preferences); web beacons and tracking pixels including the Meta Pixel (Facebook/Instagram) and the TikTok Pixel; session tracking to understand how users navigate our website within a single visit; Google Analytics 4 (GA4) deployed via Google Tag Manager to track website traffic, user behaviour, and conversion events; and the Meta `_fbp` and `_fbc` cookies which we read to attribute advertising conversions.

We use the information we collect to respond to booking inquiries and provide service quotes; to confirm and manage service bookings; to send booking confirmation emails and pre-appointment communications; to communicate with you via WhatsApp, email, or phone regarding your booking; to improve our website and understand how visitors interact with it; to run targeted advertising campaigns on Google, Meta (Facebook/Instagram), and TikTok platforms; to retarget website visitors with relevant advertisements on third-party platforms; and to comply with applicable legal obligations.

We use Google Analytics 4 (GA4), managed through Google Tag Manager (GTM), to collect and analyse information about how visitors use our website. Data collected includes pages visited, session duration, device type, and conversion events such as form submissions or booking inquiries.

We use Google Ads to advertise our services to potential clients across the Greater Toronto Area. We use Google’s remarketing features to show relevant ads to users who have previously visited our website as they browse other websites or use Google services.

We have installed the TikTok Pixel on our website. The TikTok Pixel is provided by TikTok Pte. Ltd. (and its affiliates) and allows us to measure the effectiveness of our advertising on TikTok, build audiences for our ads, and retarget users who have previously visited our website.

Our website is hosted on Vercel Inc. As our hosting provider, Vercel automatically receives standard request information including your IP address, request URL, user agent, and timestamps as part of operating the website.

We also use Vercel Analytics and Vercel Speed Insights to measure page views, traffic patterns, and Core Web Vitals (such as page load performance). Vercel Analytics is designed to be privacy-friendly and does not use cookies for analytics tracking.

Our website features a chatbot widget that helps visitors get quick answers and request quotes. If you interact with the chatbot and choose to share details such as your name, email address, phone number, event date, event type, or service interest, we collect and store those details so we can follow up on your inquiry.

Each chatbot conversation is assigned a unique conversation identifier so we can track the conversation history. We also record events such as when a conversation is started, when a quote is requested, and when a conversation is abandoned, so we can improve the experience and follow up with visitors who did not complete an inquiry.

Chatbot inquiry data is retained alongside our other booking inquiry data and is subject to the retention period described in Section 12 below.

We use WhatsApp as a primary channel for client inquiries, booking communications, and appointment confirmations. When you contact us via WhatsApp, we collect your phone number, display name, and the content of your messages.

WhatsApp communications are subject to Meta’s Privacy Policy. We do not share the content of your WhatsApp messages with third parties except where required by law. Message history may be retained for the purpose of managing your booking and service history.

When you book a service with Artistry by Rhythm, we send you a booking confirmation and appointment-related emails to the address you provide. These emails are sent through our transactional email provider, Resend, and are operational in nature rather than marketing communications.

You may contact us at any time to update or remove your email address from our records.

We do not sell your personal information. We share your information only in the following limited circumstances:

Service providers: third-party platforms we use to operate our business, including Google (Analytics, Ads, Google Tag Manager), Meta (Pixel, WhatsApp, Facebook, Instagram), TikTok (Pixel and advertising), Resend (transactional email), and Vercel (website hosting and analytics). These providers process data on our behalf and have their own privacy policies governing data use.

Legal requirements: if required by applicable law, court order, or government authority.

Business transfers: in the unlikely event of a business sale or merger, your information may be transferred as part of that transaction.

We retain your personal information only for as long as necessary to fulfil the purposes described in this policy, or as required by law. Booking inquiry data — including chatbot conversation data — is typically retained for up to 24 months. You may request deletion of your data at any time by contacting us using the details in Section 15 below.

As a resident of Ontario, Canada, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation, including: the right to access the personal information we hold about you; the right to request correction of inaccurate information; the right to withdraw consent to the collection or use of your personal information (subject to legal or contractual restrictions); and the right to request deletion of your personal information.
